Setting up your very own personal assistant

How Setting Up a Personal AI Assistant Can Transform a Busy Mam’s Life

Of course the very first way to organise your life, is setting up your personal AI assistant. It doesn’t need you to be “techy” in any way, and I am certainly not. If you protect yourself with the right tool, security and settings, you’re on track to reclaim your time energy and peace.

Being a mam today means we’re carrying more mental load than any other generation before us. We’re juggling kids, home, meals, appointments, bills, errands, birthdays, childcare and school admin, family logistics, and the constant stream of “What’s next?” that never seems to end.

Somewhere in the middle of all that, we’re supposed to maintain a career, rest, grow, enjoy life, and feel like ourselves. It’s no wonder so many of us are feeling overwhelmed, stretched thin, or permanently behind.

BUT there’s the trick that many busy Mams are missing. You don’t have to carry the whole load alone anymore. In your hand right now is the most powerful tool that those generations before us weren’t lucky enough to have… Technology.

Most of us don’t have the desire (nor budget) to outsource the parenting… but you can outsource the thinking. By setting up your own AI personal assistant, it can be instantly life‑changing, and it certainly was for me.

The moment we change our mindset and we stop using it for searching things, asking basic questions and editing pictures, we can create a life-transforming pocket rocket, and the moment the overwhelm and brain fog can lift.

Meet my Personal AI Assistant

Why Busy Mams Need a Personal AI Assistant

Most of us don’t need someone to do the tasks, we need someone to:

  • Remind us
  • Organise us
  • Plan for us
  • Research for us
  • Think ahead for us
  • Keep track of everything
  • Reduce the decisions
  • Simplify the chaos

That’s exactly what a well trained AI assistant can do. Not in the robotic, frustrating, corporate chat bot way your possibly used to from using AI. Think warm, personalised and mam‑friendly, that adapts to your home, routines, family, energy levels and goals.

When set up properly, your AI personal assistant is like adding adaptive cruise control, while you remain the brains of the operation. Allowing you the time and brain capacity to enjoy the life you want to live, instead of being an overstimulated mess at the end of every day.

What Your Personal AI Assistant Can Take Off Your Plate

Here are some of my personal examples that my assistant does for me:

  • Weekly meal planning based on my family’s preferences and dietary requirements, including writing grocery lists
  • Cleaning routines that match our energy levels, our family, our homes specific set up and needs
  • Seasonal (quarterly) home resets and maintenance
  • Home organisation system recommendations
  • Birthday planning and gift ideas
  • Home admin advice and personal complaints advisor
  • Travel planning and packing lists
  • Researching and recommending local day trips and toddler activities
  • Budget recommendations and bill reductions
  • Habit building for my personal goals
  • Realistic daily guidance (to stop me burning out when my ADHD brain tells me everything is urgent)
  • Cycle planning and birth chart reading (I know, I don’t look the type)
  • Adjusting my AuDHD supplements using medical research (not instagram reels and guesswork) depending on how I feel within myself

The best part? It doesn’t forget, get overwhelmed, need nagging, motivation and it doesn’t judge. It just quietly supports me. Every. Single. Day.

The Real Transformation: From Overloaded to Supported

When I set up my AI assistant properly, three big shifts began to happen:

1. Mental load dropped dramatically. I stopped carrying everything in my head. My assistant became an external brain that worked while I wasn’t.

2. Life became more predictable instead of chaotic: Systems started to click into place and ran automatically. I stopped firefighting and started flowing.

3. I finally felt like I got time back: Not just minutes, but complete mental space. The kind of brain space that let me breathe, think for myself, and enjoy family time.

How to Set Up Your Assistant

Now I know this is what you came for. Most people open an AI tool and say, “Help me be organised,” and then wonder why it doesn’t work. The magic isn’t in the tool, it’s in crafting your setup using something called “prompt engineering”, which basically means giving AI specific instructions to get the most out of the response.

First things first – choose your weapon (well, tool). There are so many free options out there but personally I’ve found copilot to be the best (and I’ve tried a lot!). Make sure you check the settings and privacy to protect yourself and your personal information before you do anything else.

To become the most effective personal assistant, it needs to understand you, and your life. That means having the right context and answering the right questions.

When your ready to get started, open a chat called “Personal Assistant Memory” and give it the following prompt:

Act as the ultimate home and personal assistant. Assume you know nothing about me. If my sole purpose in using you was to make my entire life (outside of work) more efficient and effective, and I had to start from scratch with you, what questions would you ask to get to know me.

From here you’re going to get a list of questions on foundational areas like your daily rhythms, household structure, home layout, pain points, food habits, short and long term goals.

Open a notes app and take your time to answer the questions. You might even think of more context it hasnt asked for. Then send the response back and add most importantly add to the end, “Don’t make assumptions and ask any further clarifying questions you may need“.

Once your happy its got everything it needs, ask the chat to save to memory.

Now your assistant knows your answers, has them saved and can help you build routines, create systems, automate tasks, plan ahead, reduce decisions, support your energy and simplify your home. This is where the transformation begins.

From here you can open separate chat threads for meal planning, financial analysis, creating home system and so much more.

You Deserve Support

Mams aren’t meant to carry everything alone, “it takes a village”. Who said that part of your village can’t be by your side and living in your pocket already.

Love, Jo-Anne x
